Department of Administrative Affairs (Diwan Affairs)
The Department of Administrative Affairs is considered one of the essential departments at the university, playing a vital role in coordinating and supervising the work of colleges and departments. It holds significant importance due to its central function in providing all basic services and meeting the needs of various university units. Many aspects of university life intersect within this department, and its achievements extend to all directorates, colleges, centers, employees, and students of the university.
Department Tasks
- Direct management of organizing celebrations, scientific conferences, festivals, and academic seminars inside and outside the university.
- Participation in various engineering, technical, administrative, scientific, and organizational committees, including preparing reports and assessments.
- Coordination with city service departments and the Ministry of Higher Education and Scientific Research regarding shared responsibilities that support community service.
- Carrying out maintenance activities in various fields, including electrical systems, water and sanitation systems, cooling and air-conditioning units, electronic devices, wooden and metal furniture, vehicles, and generators.
- Maintaining the gardens of the university presidency and conducting tree-planting campaigns within the main campus, in addition to following up on the colleges’ gardens to ensure a vibrant and appealing green landscape.
- Monitoring generators, measuring operating hours, conducting periodic inspections, and managing electrical load distribution, as well as receiving and distributing the monthly fuel allotment to all university generators.
- Following up on all matters related to university vehicles, including issuing driving authorizations, handover and receipt orders, inspections, purchasing new vehicles, and overseeing registration procedures.
- Organizing preventive safety measures and ensuring their implementation in cooperation with the Civil Defense Directorate through periodic inspection of fire extinguishers and safety systems, along with conducting training courses and awareness workshops and supervising civil defense shifts to protect lives and property.
- Registering employee fingerprints in attendance devices across university departments, performing continuous updates according to changes, and extracting weekly attendance and departure reports.
Achievements
- Participation in the organizing committee of the University of Fallujah’s Second Arabic Poetry Festival.
- Receiving and distributing the October fuel (diesel) quota for university generators to all colleges.
- Cleaning the university presidency’s water tanks and installing a large water filtration unit.
- Inspecting and receiving the new vehicle for the College of Applied Sciences and initiating its registration procedures and license plate issuance.
- Completing the registration procedures and receiving the new license plates for the President’s Office vehicle and the new vehicle of the College of Medicine.
- Ongoing maintenance activities across all areas, especially electrical systems and photocopying/printing devices at the university presidency.
- Participation in the committee for the Anti-Drug Week and attending its related conference at the University of Iraq.
