Department of Studies, Planning, and Statistics

The Department of Studies and Planning was established in 2014 to meet the university’s need for a specialized unit responsible for setting strategies, defining goals, developing future plans, monitoring implementation, and establishing unified frameworks to address challenges that may arise in the future.

The Department of Studies, Planning, and Statistics performs a strategic function by collecting data and statistics about the university, its colleges, and affiliated centers. It is responsible for providing the Ministry of Higher Education and other university divisions with the required statistical information concerning faculty members and employees. The department also develops short-, medium-, and long-term strategic plans aligned with the university’s goals. This includes preparing and updating the academic structure and creating the five-year staffing plan needed to address shortages based on current and future academic expansions. Additionally, the department designs the annual student admission plan according to labor market needs and works on establishing new departments, branches, and colleges to enhance academic performance and meet the needs of society.

Department Mission

Defining the future academic and administrative direction of the university, across all its formations and colleges, through a set of administrative decisions and practices aimed at improving institutional performance and establishing policies and strategies aligned with the university’s mission.

Department Vision

To aspire toward the highest levels of success, excellence, and administrative quality in educational, functional, and research fields, while contributing to the advancement of the university and the ministry.

Department Goals

  • Establishing new colleges and scientific departments, identifying their requirements (such as buildings and equipment), and improving the overall academic level.
  • Understanding the general standards used for planning, monitoring, and evaluating performance, and developing programs that match available academic capabilities to improve scientific levels in line with current needs.
  • Enhancing the functional and professional performance of all scientific and administrative departments according to planned strategies, through monitoring, comparing current and previous performance, and planning for future improvement.

Department Structure

The department consists of:

  • Planning Division
  • Statistics Division
  • Data and Informatics Division
  • Study Systems Division
  • Archiving Unit

1. Planning Division

Tasks of the Planning Division:

  • Preparing studies related to establishing academic and administrative structures, including colleges, research centers, departments, and branches according to approved standards.
  • Reviewing establishment proposals and verifying compliance with the required conditions before submitting them to the University Council Secretariat.
  • Presenting establishment studies to the University Council for decision-making and issuing official university orders upon receiving approvals from relevant authorities.
  • Preparing periodic reports on operational activities and submitting them to the ministry.
  • Participating in developing the university’s strategic plan in alignment with its vision and mission.
  • Contributing to preparing and issuing the annual university guide, including official data and statistics.
  • Following up on ministerial committee reports related to establishment processes and coordinating with relevant colleges to complete technical and administrative requirements.
  • Issuing ministerial and university circulars concerning internal and external training courses, establishment procedures, and changes in the names of academic units.

2. Statistics Division

Tasks of the Statistics Division:

  1. Annual Statistical Report:
    Provides a comprehensive overview of the university’s planned activities for the academic year and evaluates the extent of their implementation. It also includes planning for the next academic year.
  2. HR Statistical System:
    Contains data on university employees (faculty, staff, and daily workers).
  3. Graduate Statistics:
    Includes the number of graduates from undergraduate and postgraduate programs.
  4. Arab and Foreign Students Statistics:
    Includes data on continuing students and those whose registration was cancelled.
  5. University Statistics:
    Includes detailed annual data on undergraduate and postgraduate students, numbers of examinees, pass and fail rates (including failure, withdrawal, postponement), and student transfers.
  6. Responding to ministry requests regarding various statistics.
  7. Providing researchers (students and faculty) with required statistics for theses and research.
  8. Success Rates:
    Conducting detailed studies on success rates after first-round exams in all departments and colleges.

3. Data and Informatics Division

This division is a specialized technical unit responsible for supporting institutional work through advanced software tools used to maintain and update the university’s databases. It manages data related to university employees, such as workplace, job titles, academic qualifications, and essential personal information. The division also serves as a link between college databases and the central database at the university presidency using a unified network system.

Tasks of the Data and Informatics Division:

  1. Auditing and monitoring all data related to academic and administrative staff.
  2. Conducting monthly meetings with database representatives in colleges to coordinate and resolve challenges.
  3. Providing technical and analytical advice for the design of network database systems and offering recommendations for the structure of databases, programs, reports, and statistics.
  4. Organizing training courses for staff on ministry-supplied software and locally developed systems.
  5. Assisting colleges in entering their data into the electronic system.
  6. Coordinating with college databases to standardize processing and handling of ministry-required data.

4. Study Systems Division

Tasks of the Study Systems Division:

  1. Curricula:
    Proposals for new or modified curricula approved by the College Council and University Council are submitted to the relevant Deans’ Committees, which forward them to the ministry through the Directorate of Studies and Planning. The department later informs the relevant college of the ministry’s decision.
  2. Academic Systems:
    Proposals for changing academic systems (from annual to semester or credit-hour system) are submitted by colleges to the department, which forwards them to the ministry. Upon approval, colleges are officially notified of the adopted system and required to update their curricula accordingly.
  3. Responding to University Council Secretariat memos related to the division’s work.
  4. Following up on ministry correspondence, disseminating it to colleges, collecting their responses, and replying to the ministry within the required timeframe.

Department Achievements

  1. Completion and approval of the academic structure for 2025.
  2. Completion of the five-year plan (2023–2028).
  3. Establishment of the College of Information Technology (Cybersecurity & Artificial Intelligence).
  4. Establishment of the English Language and Mathematics Departments at the College of Education.
  5. Creation of university-specific databases, including statistical databases.
  6. Auditing and updating staff data (faculty and employees).
  7. Completion of human resources statistical data.
  8. Submission of the financial expenditure report for 2025.
  9. Completion and submission of the university's annual statistical report to the ministry.
  10. Near completion of the University Guide for 2025–2026.
  11. Submission of a study concerning the Quran Memorization Center as a research center.
  12. Completion of archiving files for 2022, 2023, and 2024 and transferring paper files to storage.
