Central Mail Division
The Central Mail Division serves as the communication link between the University and the Ministry, Iraqi universities, and various state institutions. Its role involves delivering and receiving official correspondence through authorized representatives responsible for submitting and collecting the University’s incoming and outgoing mail.
Core Tasks:
- Issuing official documents printed by the Office of the University President, the Office of the Scientific Assistant, the Office of the Administrative Assistant, departments, centers, or their subordinate units.
- Receiving incoming correspondence addressed to the University from the Ministry of Higher Education, other universities, or various state departments.
- Electronic circulation of official letters to university colleges and presidency departments. This process supports the University’s digital transformation efforts by ensuring fast and accurate delivery to the intended recipients.
- Electronic archiving:
The Central Post Division aims to keep pace with technological development and maintain efficient administrative procedures by entering data of incoming and outgoing correspondence into the advanced electronic archiving system developed by the Computer Center. This includes scanning outgoing letters and storing them in the system along with complete metadata, ensuring easy retrieval when needed.
Activities:
- Ensuring continuous workflow in the division.
- Reducing errors in mail distribution and preventing the loss of documents.
